Short answer

On Timesheets, open the shift and click Edit entry to change the clock in, clock out or breaks, then Save. Use Add entry for a shift someone forgot to clock, and Delete entry for a duplicate.

Open in Roux Roster

Edit clock in and clock out times

  1. In the Dashboard, click Timesheets and find the shift.
  2. Click the pencil, or open the row and click Edit entry.
  3. The Edit clock entry sheet opens. Change Clock in or Clock out. The old time shows underneath so you can compare.
  4. Check Paid hours. It shows how much the change adds or takes away.
  5. Click Save. You see Entry updated.

To save and approve in one go, click Approve instead of Save.

The shift now shows edited, so everyone can see it was changed. If it was already approved, changing the times sets it back to Pending.

Edit or add a break

  1. Open the shift with Edit entry.
  2. Under Break, pick a length: None, 15m, 30m, 45m, 60m, 90m or 120m. Pick Auto to use the venue's automatic break, if it has one.
  3. To add a second break, click + Second break and enter its length.
  4. Click Save.

Breaks are unpaid. Paid hours use the break length. The break start time is optional.

Add a shift someone forgot to clock

  1. On Timesheets, click Add entry at the top.
  2. The Add clock entry sheet opens. Fill in Staff, Site, Date, Clock in and Clock out.
  3. Add a break if they took one.
  4. Click Add entry.

A finished shift you add is approved straight away. A Venue Lead's own shift stays Pending for an Admin to approve. Added shifts show added by manager.

Fix a no-show

A rostered shift with no clock shows as No-show. On that row:

  • Click Add entry to enter the times they really worked. The staff member and venue are filled in from the roster.
  • Or open the arrow menu and pick Record as leave if they were away. This records approved leave.
  • Or pick Dismiss if the shift didn't happen.

Delete a duplicate entry

  1. Open the shift with Edit entry.
  2. Click Delete entry.
  3. Confirm. You see Entry deleted.

If the entry is already approved, Roux Roster warns you that it may already be in a payroll file. Click Unapprove instead to keep it, or Delete anyway.

Who can fix timesheets

  • Admins can fix entries at every venue.
  • Venue Leads can fix entries at their assigned venues.
  • Staff can't change their own entries. They ask a manager. See Forgot to clock in or out?
