Short answer
On the Roster tab, click an empty cell to add a shift, or use Apply › Copy last week. When the week is ready, click Publish roster. Staff only see shifts once the roster is published, and can get an email when you publish.
Add a shift
- In the Dashboard, open Roster.
- Click an empty cell (it shows +) for the person and day you want.
- In Add shift, check the Employee, Site and Day, then set the Start and End times and the Break.
- Pick a Station if you use them.
- Click Add shift.
Copy last week
- Click Apply in the roster toolbar.
- Click Copy last week.
- Check the copied shifts and change anything that's different this week.
Publish the roster
Until you publish, the week shows Draft, not yet visible to staff.
- Click Publish roster.
- In Publish this roster?, leave Notify staff by email ticked to email your staff, or untick it.
- Click Publish and notify (or Publish only).
Staff now see their shifts in My Roster. Before you publish, they see "Your manager hasn't published this week's roster yet."
Change a published roster
Edit shifts as normal. The button changes to Publish changes. Click it to send the changes to staff. To take the week back to draft, click Unpublish.

Send approved timesheets to Xero
Approve the week on Timesheets, click Push to Xero, pick the pay period and check who is ready, then push. Only approved hours are sent. You finish the pay run in Xero Payroll AU, where STP reporting and super are handled.
Add and invite staff
In People, click Add staff, fill in their name, role, pay and venue, then click Save and invite to email them a link to set their password. Save as draft puts them on the roster without emailing them.
