How award costs are worked out

Short answer

For an Australian venue with an award picked and the Labour cost model switched on, Roux Roster prices hours using that award's penalty rates, loadings and overtime. It is a costing model, not a payslip. Your pay run in Xero is what counts.

Which awards are covered

The model works for venues in Australia using one of these modern awards:

  • Hospitality (Hospitality Industry (General) Award, MA000009)
  • Restaurants and cafés (Restaurant Industry Award, MA000119)
  • Fast food (Fast Food Industry Award, MA000003)
  • Clubs (Registered and Licensed Clubs Award, MA000058)

Turn the model on for a venue

  1. In the Dashboard, open Venues and find the venue. On a wide screen, Venues is under the Team menu.
  2. In the Award section, pick the Modern award.
  3. Switch on Labour cost model.
  4. Tick I understand this is a model, not a pay instruction. and click Enable.

What the model adds

When the model is on, Roux Roster prices each week using the award's rules:

  • Weekend and public holiday rates: Saturday, Sunday and public holiday percentages for the award, with different rates for permanent and casual staff.
  • Casual loading: 25% on the base rate for casual staff.
  • Evening and night loadings: on weekdays only, for adults. For example, the Hospitality award adds a flat amount per hour from 7 pm, and more from midnight to 7 am.
  • Overtime: after 38 hours in a week, or after 11.5 hours on a weekday. The first 2 overtime hours are at time and a half, then double time.
  • Part-time staff: hours over their agreed hours are overtime.
  • Junior rates: based on the person's age on the day of the shift.
  • Casual minimum: a casual shift is paid for at least 2 hours.

Only the highest rate applies to an hour. Penalties don't stack. Award rates change on 1 July each year.

What the model doesn't do

  • It doesn't accrue leave. Xero holds leave balances.
  • It doesn't include PAYG tax or super in the labour cost.
  • It doesn't file pay runs or report to the ATO. That happens in Xero Payroll AU.

Where you see award costs

  • Labour cost on the roster.
  • The Award mix tab in Reports.
  • Xero Payslip mode, which sends priced lines to a draft pay run. See Send approved timesheets to Xero.

The normal Push to Xero in Timesheet mode sends hours, not dollars. Xero then applies your earnings rates.
